FluentOS is a business operations platform built and operated by Fluent AI Consulting ("Fluent," "we," "us") for professional-services firms ("Client Firms"). This policy describes how FluentOS handles information, including data accessed through third-party integrations such as the QuickBooks Online API (Intuit Inc.).
FluentOS is deployed as a single-tenant system inside each Client Firm's own cloud environment. It is not a consumer product and is used only by authorized personnel of the Client Firm. Fluent does not operate a shared, multi-tenant data store for Client Firm data.
With the Client Firm's authorization, FluentOS may access business records needed to provide its features, including: accounting records from QuickBooks Online (customers, invoices, payments, financial reports); email and calendar data from the firm's Microsoft 365 tenant; documents the firm stores or receives; and e-signature status information. Access is granted by the Client Firm through each provider's consent process (for example, OAuth for QuickBooks Online) and can be revoked by the Client Firm at any time.
Information is used solely to provide FluentOS features to the Client Firm — for example routing correspondence, preparing bookkeeping reconciliations, tracking work in process, and drafting invoices for the firm's review and approval. Fluent does not sell data, does not use Client Firm data for advertising, and does not use Client Firm data to train artificial-intelligence models. AI processing occurs within the Client Firm's own cloud environment using models configured not to retain or train on inputs.
Client Firm data processed by FluentOS remains in the Client Firm's own cloud account, located in the United States, encrypted in transit (TLS 1.2+) and at rest (AES-256 under customer-managed keys). Access is controlled by least-privilege roles with multi-factor authentication, and administrative actions are logged. Credentials for connected services are stored in an encrypted secrets vault, never in code or documents.
Fluent does not share Client Firm data with third parties, except the service providers the Client Firm itself has connected (such as Intuit, Microsoft, or Google) as necessary to operate the integrations the firm has authorized, or where required by law. Where a Client Firm is a tax return preparer, Fluent operates as a U.S.-located contractor under written confidentiality obligations consistent with IRC §7216 and §6713.
Because data resides in the Client Firm's own environment, the Client Firm controls retention. Upon termination of services, or upon request, Fluent's access is revoked and any Client Firm information in Fluent's transient possession is deleted or returned.
Data obtained through the QuickBooks Online API is used only to provide FluentOS features to the Client Firm that authorized the connection, is not sold or transferred to third parties, and is not used for model training. The Client Firm may disconnect FluentOS from QuickBooks at any time from Intuit's app management settings, which terminates our access.
